Been there, done that–so, I am speaking from experience.
I have been running multiple small-scale businesses since 2019, and things kicked off with turbulence, at first. There were problems with supply chains, talent, and most importantly, operations.
Operations are an essential part of the business because everything is tied to them. It is crucial to simplify them to boost productivity. That said, you can’t just do that manually in 2026.
The best and most effective way is to rely on modern tools to make operations seamless and eventually boost productivity. What are those tools, you might be wondering?

Project Management Tools
The problem I have observed with most SMBs is that their processes are scattered. It’s very difficult to keep track of them. And when they aren’t tracked, inefficiency in a business is inevitable.
To get rid of that problem, as a small business owner, you can rely on the project management tools to streamline all the operations in one place.
For example, I rely on ClickUp to make sure that everything is in one place and my workers stay aligned with their tasks. I communicate and assign tasks from a single app. This is one of the major reasons that I have very efficient processes. But there’s a catch to it as well.
Project management software needs the best internet providers and a fast connection to work seamlessly. If you are planning to use any of these tools, make sure to have a reliable internet connection. Otherwise, you’d be facing worse efficiency than manual task management.
Communication Channels
The next tool you need to improve your business productivity is a communication tool. Why is that important? Well, the answer is in the name itself. You need to effectively communicate with your team in order to streamline processes and everything else.
I learned this the hard way. Initially, we created a WhatsApp group to communicate with the team, but it wasn’t working for two reasons. First, usually, WhatsApp is a messaging app, so it clashed with their personal chats.
Second, when I tried to counter the first problem by setting up business phone numbers for my employees, it only added to the already-growing burden, such as administrative overhead costs.
Eventually, I fixed this issue by relying on a proper communication channel, Trello, for my business. It eliminated the need for groups, business accounts, and other unnecessary hurdles.
I was able to communicate more effectively, and this resulted in an overall boost in productivity for my business. So, you should be using a proper communication channel to convey and receive messages from your employees.
File Sharing Apps
This app is going to be good for most freelance-based businesses. A lot of the time, there is a need for file sharing, especially when your team is working remotely.
Communication apps like Trello and Teams would work most of the time, but the problem with them is that they are not designed to share heavy files. So, there is a need for file-sharing apps.
WeTransfer is one way to share files, but it isn’t reliable when you frequently share files across the team. I have tried it, and it only slows down the speed of the process.
What’s the alternative, you might be wondering?
Well, cloud-based apps like Dropbox, Google Drive, and others will help you share files more effectively. You can have as heavy a file as you can, depending on the storage plan you’ve gone for.
I recommend a 100GB plan initially if you have a small team. If your team is big, I recommend getting a 500GB plan or a 1TB one. It will help you eliminate the fuss of updating your plan on the run.
Marketing Channels
Whether you are selling a product or a service, you need to showcase it to the people. How would you do that? It depends on the people you are serving.
For example, if your target audience is Gen-Z, print media would rarely work. It depends on how you plan to go about the design and stuff to gain their attention and then sales.
Whereas, if you are targeting older people, you should go with print media because they are likely to adore the more personalized way of receiving your message.
The bottom line is that you need to identify your target audience to promote your products/services through the right marketing channel. And if you don’t know anything about marketing, it is better to hire an expert than go about things yourself. If you won’t, you might lose the money without getting anything in return.
